Add a Graphic or a Logo to Word Labels

Adding a seasonal piece of clip art to Word labels can really liven them up, especially for return address labels.

This can be a fairly complicated procedure with Word 97, but it certainly is possible with a little attention to detail.  After you scale and position a graphic element along with the text you will use for your label, you will need to group them, cut them to the Clipboard, and paste them back into your document as an inline picture.

Then  you can save the picture as an AutoText entry.  The rest of the procedure involves opening the Labels tab and inserting and centering the AutoText entry in the Address text box.  Start a New Document, then print the labels.

Here are the steps:

  1. Open a new document and choose Picture... from the Insert menu.
  2. Select Clip Art... from the Picture cascading menu, choose the clip art, and click Insert.
  3. Right-click on the clip art and choose Format Picture.
  4. Click the Size tab and enter .85 in the Height text box, and click OK.
  5. Make sure the Drawing toolbar is visible, if not click its button on the Standard toolbar, then click the Text box button and draw a text box on the page.
  6. Type the address information in the text box, select all the text, and apply the following formats:  10 points, bold, line color: none.
  7. Widen the text box to prevent wrapping, then place it beside the graphic.
  8. Select the text box and graphic by holding the Shift key down while clicking on each item, then click the Draw button on the Drawing toolbar, choose Align or Distribute, and then select the Align Middle command.
  9. With each of the items selected, click Draw and choose Group.
  10. Then click Cut.
  11. Choose Paste Special... from the Edit menu, select Picture from the As list box, deselect the Float over Text check box, and click OK.
  12. Select the pasted graphic, press Alt+F3 to create an AutoText entry, type a name for the AutoText entry (such as Label), and click OK to store it.

Now to make the labels:

  1. Choose Envelopes and Labels... from the Tools menu and click the Labels tab.
  2. Click the Options button and select the Label style you want to use - i.e. 5160 address label from the Product Number list, then click OK.
  3. Type the AutoText name (Label) in the Address text box and press F3.
  4. Center the contents by right-clicking on the address text box and choose Paragraph... from the shortcut menu, then select Centered from the alignment lists and click OK.
  5. Click New Document to create a sheet that includes the graphic and AutoText on each label.

Try this out on plain paper before you try to print on the costly labels first.  It will save you lots of headaches.  You can adjust sizes of font and text boxes according to the label size you are working with.

Another idea to play with is to create name badges with clip art or pictures for seminars and workshops.
